This document is part of the TNC Ecosystem Standard Protocol. It must be presented with the exact incorporated versions identified in the acceptance receipt. A visible portal state without a durable receipt is not acceptance.TWELVE NINETY CONNECTIONS | TNC ECOSYSTEM STANDARD PROTOCOL Recording & Transcription Notice | v1.1 Page 2 of 3 1. PURPOSE This Recording & Transcription Notice explains when TNC may record, transcribe, summarize, or create technology-assisted notes from a call, video meeting, interview, event, support interaction, or other communication. TNC does not represent that every interaction is recorded or transcribed. Participation in the TNC ecosystem alone is not blanket consent to recording. 2. NOTICE AND CONSENT Before TNC records or transcribes an interaction, TNC will provide notice appropriate to the channel and jurisdiction. When law requires affirmative consent, TNC must obtain and preserve that consent before recording or transcription begins. A meeting invitation, audible notice, visual banner, portal prompt, written acknowledgment, or other method may be used, provided it satisfies the applicable requirement and creates the necessary evidence. 3. PURPOSES An authorized recording, transcript, or note may be used to: create an accurate record or action items; support recruiting, service, relationship, support, training, or quality functions; document consent, instructions, decisions, or disputes; improve accessibility; protect security and prevent fraud or abuse; satisfy legal, audit, or recordkeeping requirements; or create authorized summaries and follow-up materials. 4. INFORMATION CAPTURED A recording or transcript may capture voice, image, name, contact details, participants, screen content, messages, files, background information, and other content shared during the interaction. Participants should avoid unnecessary sensitive or confidential information. 5. TECHNOLOGY-ASSISTED TRANSCRIPTION AND NOTES TNC may use technology-assisted transcription, summarization, or note-taking providers. Outputs may contain errors. A transcript or summary is not automatically an authoritative fact, acceptance, instruction, or final decision. Material information should be reviewed against the source. 6. ACCESS, CONFIDENTIALITY, AND DISCLOSURE Access is limited according to the relationship, purpose, role, confidentiality, and applicable authorization. TNC will not publicly disclose an identifiable recording, transcript, or private communication merely because it exists. Disclosure to a client, candidate, partner, service provider, adviser, authority, or other person must be authorized by the relationship, purpose, consent, or law. 7. RETENTION AND DELETION Recordings and transcripts are retained according to the applicable purpose, legal requirements, contract, consent, dispute, security need, and retention schedule. TNC may preserve a minimal receipt or legal record after the media is deleted.TWELVE NINETY CONNECTIONS | TNC ECOSYSTEM STANDARD PROTOCOL Recording & Transcription Notice | v1.1 Page 3 of 3 8. CORRECTION AND ACCESS REQUESTS A participant may request access or correction where required by law or TNC policy. TNC may preserve the original record and a correction or annotation rather than altering source evidence silently. 9. DECLINING OR WITHDRAWING A participant may decline recording where the interaction can lawfully and reasonably proceed through an alternative method. TNC may offer a nonrecorded call, written communication, or another channel. Some legally required, security, or transaction functions may require a record; TNC will explain the consequence. Withdrawal applies prospectively and does not invalidate a recording lawfully created before withdrawal. 10. PARTICIPANT RECORDING A participant may not secretly record, transcribe, stream, publish, or distribute a TNC interaction in violation of law, confidentiality, intellectual-property rights, or the applicable relationship terms. A participant who wishes to record should disclose the request and obtain any required consent. 11. EVENTS AND MEDIA Event photography, audio, video, streaming, and publicity are also subject to the Public & Commercial Participation Terms and any visibility or media election. Private participation does not become public participation merely because an event occurs. 12. SECURITY Recordings and transcripts are protected through access controls and safeguards appropriate to their sensitivity. Participants should report an unauthorized recording or disclosure promptly. 13. CHANGES Material changes must be versioned and presented when required by law, contract, risk, or TNC policy. Prior consent and notice records remain preserved. 14.
